Registration and Student


A brief overview of the responsibilities of the Registration and Student Affairs Department at the Presidency of Wasit University includes:

  1. Managing the admission process for students, starting from the application phase, ensuring that students correctly fill out the electronic application form, up to the announcement of central admission results. This department also handles objections to admission results and assists students in modifying their nominations. Additionally, it manages various channels such as government and private education, previous years’ admissions, and the elite channel.
  2. Following up on the implementation of instructions and orders issued by the Ministry regarding student transfers and hosting arrangements.
  3. Enforcing admission and registration regulations issued by the Ministry accurately.
  4. Monitoring colleges and overseeing student-related matters, including reviewing student requests, providing advice, and attempting to resolve student issues to the extent possible within the framework of the regulations.
  5. Auditing admissions with colleges to ensure compliance with the plan and student GPAs, in addition to verifying student documents in all their forms (certificates and translations) in both Arabic and English.

There are four departments in the Registration Department:

  1. Central Admission Department.
  2. Graduates and Document Authentication Department.
  3. Document Verification Department.
  4. Student Follow-up Department.

here’s a summary of the tasks carried out by the Central Admission Department:

  1. Organizing the admission and transfer of students between universities, tracking students from their registration until graduation.
  2. Issuing university orders for centrally admitted students.
  3. Implementing Ministry-issued instructions and monitoring colleges to ensure compliance.
  4. Responding to inquiries and requests from the Ministry, colleges, and students, including providing opinions and addressing all inquiries received.
  5. Issuing university orders for admitted students, graduates, and verifying them against college council meeting minutes for names and GPAs.
  6. Archiving official documents and their attachments on a daily basis.
  7. Monitoring student numbers and categorizing them by colleges on a monthly basis, including continuous students, deferred students, absentees, and those with canceled enrollments (dropouts).
  8. Reviewing the admission of evening students in accordance with regulations.
  9. Verifying the nomination of students within the direct admission channel and issuing university orders after obtaining Ministry approval.

B – Document Authentication Department:
This department verifies all graduation documents and academic certificates of our university’s graduates since its establishment. This involves cross-checking the grades listed on the grade card with those on the document, ensuring the deduction of 10 marks from second-semester courses in compliance with regulations. It also verifies the presence of the secondary school academic certificate in the primary documents, checks for the seals on the document, and the signatures in both Arabic and English. A specialized document authentication register is maintained, including details such as document type (Arabic or English), document number, date of issuance, the number of documents, academic department, college, graduation year, and the date it was issued by the university. This register is signed by the Assistant President for Scientific Affairs.

C – Document Verification Department:
This department handles all transactions related to the validity of documents for graduate students, as well as processing the validity of issued documents from within and outside Iraq. It aims to complete these transactions within a three-day period and follows up with the colleges directly to expedite the process. However, as of October 10, 2022, paper document verification has been discontinued based on a decision by the General Secretariat of the Council of Ministers, which converted it into an electronic process for efficiency.

D – Student Follow-up Department:
This department is responsible for tracking the Ministry’s official letters related to students that require colleges’ responses. It coordinates the responses from colleges and forwards them to the Ministry. Additionally, it handles students’ requests and facilitates communication to resolve any discrepancies or issues.
